PRIVACY POLICY FOR RECRUITMENT AT ANORA

  1. INTRODUCTION

    Anora Group and its affiliates ("Anora") are committed to protecting your personal data in accordance with applicable data protection and privacy laws, including the EU General Data Protection Regulation 2016/679 (“GDPR”). The purpose of this Privacy Policy is to describe the ways Anora ia collects, stores, uses, manages and otherwise processes personal data that you provide and Anora collects in relation to recruitment. Please read this Privacy Policy carefully before submitting your personal data to Anora. By submitting your data to Anora, you agree to this Privacy Policy.

  3. PROCESSING OF PERSONAL DATA

    1. Grounds and purposes of processing

      Anora processes your personal data on the following grounds:

      - consent (GDPR Art. 6.1(a)),
      - taking steps prior to entering into a potential employment contract (GDPR Art. 6.1(b)); and
      - legitimate interests pursued by Anora (GDPR Art. 6.1(f)).

      Based on your consent and to take steps prior to entering into a potential employment contract with you, Anora processes your personal data to recruit suitable candidate(s) and to manage other activities related to the recruitment process. Consequently, Anora processes your personal data for the following purposes: evaluating and selecting candidates, communicating with you during the recruitment process, setting up and conducting interviews and tests, assessing the results, making the final recruitment decision and as is otherwise necessary in the process. Anora may also process your personal data based on its legitimate interests for reporting and statistical purposes and for defending itself against claims for e.g. discrimination.

      Please note that if you intend to provide us with personal data of a reference or any other third party as part of your CV or otherwise, it is your responsibility to obtain consent from such third party.

    2. Collected data and retention

      Anora collects personal data from you and any information sources that you provide to Anora as part of your job application or in the recruitment process. Such data may include:

      - name, address, telephone number, email address, other contact information and your preferred ways to be contacted;
      - CV, cover letter, previous work experience, education, competences and skills;
      - preferred country/countries of employment, willingness to relocate, desired salary;
      - how you heard about the position,
      - information relating to references, and
      - personality or ability assessments.

      Anora retains your personal data as long as the data is required for the aforementioned purposes or as required by applicable laws. When such requirements no longer exist, the personal data will be deleted. Consequently, some of your data will be retained by Anora for a maximum period of two years after the relevant recruitment decision has been reached, after which it will be deleted in connection with the subsequent regular review of recruitment data. However, if you become an employee, any personal data that you have submitted in the recruitment process may become a part of your file and may be used for other employment/work-related purposes in accordance with the Privacy Policy for Employee Data at Anora.
    3. Recipients and disclosure

      The recipients of your data will be the human resources team and the manager(s) making the recruitment decision.

      Your personal data may be disclosed to third parties processing personal data on Anoras behalf for the aforementioned purposes (including recruitment consulting services and services related to the recruitment software used by Anora). Your data is not processed outside the European Union or the European Economic Area.

  4. YOUR RIGHTS

    With respect to the processing of your personal data, you have the following rights, as appropriate and subject to possible restrictions arising from applicable laws:

    - Right to withdraw consent - You may withdraw your consent at any time. However, if you do, please note that we are not able to continue the recruitment process with you, as the processing of your personal data is necessary for the recruitment. Please also note that even though you withdraw your consent, Anora may have legitimate interests in retaining your personal data.
    - Right to access – You are entitled to be informed of what personal data Anora holds about you and have a copy of such personal data.
    - Right to request rectification – You have a right to request Anora to rectify your personal data that is incorrect, incomplete or otherwise inaccurate, as well as a right to have incomplete personal data completed.
    - Right to deletion of data and restriction of processing – You may ask Anora to delete personal data that is held about you, or to restrict the way in which Anora uses your personal data, for example if there is no longer a lawful basis for the processing of such data or the data is no longer needed for the purposes it was processed, unless Anora has a legal right or obligation to retain and process such data.
    - Right to object – You have the right to object, on grounds relating to your particular situation, to the processing of your personal data. Anora may decline the request and continue processing on statutory grounds.
    - Right to data portability – Under certain circumstances, you have the right to receive personal data that you have provided to Anora and to transfer such data to another controller.
    - Right to lodge a complaint – You are entitled to lodge a complaint on Anoras personal data processing with competent data protection authority in the EU Member State of your residence, place of work or of an alleged infringement of the GDPR.

    As Anora seeks to develop the recruitment process continuously, also this Privacy Policy may be updated to correspond with the current situation. We encourage you to review this Privacy Policy from time to time for any updates.
